The Wildlife Conservation Society - Indonesia Program (WCS-IP) is currently
  seeking for qualified candidates to fill the following vacancies:
  
  1.   Administration Officer (Bogor Office)
  
  Job Summary:
  
  The Administration Officer will report directly to the Administration &
  Human Resources Manager and will work closely with Project Staff and Field
  Finance and Admin Staff. The job of the Administration Officer is to provide
  supportive services of the organization to operate efficiently and cost
  effectively. This includes but is not limited to management of office space
  allocation, office security, facilities maintenance and operation,
  procurement, record-keeping, mails, materials scheduling, printing,
  reproduction, distribution, communication management, vehicle fleet
  management and other office support service.
  
  Responsibilities:
  
  .          Coordinate WCS-IP administrative function in the head office.
  
  .          Process all procurement for the head office and any major
  procurement in the field office. This includes but is not limited to
  contacting vendors, gathering of quotation, and coordination with requesting
  staff regarding the quality and specifications of the items/services
  requested, and completion of procurement orders.
  
  .          Responsible for booking tickets, accommodation, and airport
  transfer for WCS-IP staff, visiting WCS staff from New York and other
  country office, Consultants, Partners, Donors, etc.
  
  .          Be in charge of the reception area (accept visitors, answer the
  telephone, forward generic email to responsible staff, accept mails and
  deliveries, among others). 
  
  .          Ensure upkeep of the head office and initiate the process for any
  required office repairs and maintenance.
  
  .          Ensure upkeep of the equipments and furniture and initiate the
  process for any required repairs and maintenance.
  
  .          Manage the office supplies inventory and availability.
  
  .          Perform annual and semi-annual physical inventory of all office
  assets (furniture, equipment, office and project supplies, and vehicle).
  
  .          Assist in meeting logistics. Organize monthly staff agenda and
  attendance list.
  
  .          Organize and maintain the office library.
  
  .          Assist in filing letters/documents and writing letters.
  
  .          Assist in information dissemination. This includes but is not
  limited to provide WCS fact-sheets, brochures, books, etc.
  
  .          Manage the schedule of office vehicle and driver. 
  
  .          Take care of annual taxes and extension of Vehicle Registration
  Certificate of WCS-IP vehicles. Coordinate this arrangement with the Finance
  and Admin Officer/Assistant at the field offices.
  
  .          Take care of WCS-IP offices and vehicles insurance. Coordinate
  the insurance arrangements with the Finance and Admin Officer/Assistant at
  the field offices.
  
  .          Provide secretarial services for the Country Director and Deputy
  Directors from time to time. 
  
  .          Undertakes other tasks as deemed necessary in line with the goal
  of providing management support to the Country Office as assigned by the
  Country Director and/or Deputy Directors.
  
  Qualifications:
  
  .        Bachelor Degree or equivalent experience in a similar position with
  an NGO or INGO.
  
  .        Computer skills mandatory. Proficient in Microsoft Office
  Applications. 
  
  .        Good administrative/office management skills.
  
  .        Interpersonal skills, solid programming, financial and
  organizational development skills; and excellent analytical and financial
  planning skills. 
  
  .        Strong analytical and interpretative problem solving skills.
  
  .        Knowledge of the policies, regulations, reporting formats, and
  cultures of traditional donors, including AUSAID, UNESCO, USFWS, World Bank,
  Packard and others.
  
  .        Able to multi-task, establish priorities and meet deadlines.
  
  .        Able to work with minimum supervision.
  
  .        Good oral and written communication skills. English and
  Bahasa-Indonesia.
  
  .        Concern for wildlife conservation & environmental issues is
  essential.
  
  2.   IT Assistant (Bogor Office)
  
  Job Summary:
  
  The IT Assistant will report directly to the Administration & Human
  Resources Manager and will work closely with Administration Officer and
  Project Staff. The job of the IT Assistant is to provide supportive services
  of the organization to operate efficiently and cost effectively. This
  includes but is not limited to provide IT technical assistance and training,
  develop and maintain WCS-IP information system, procurement, communication
  management, and other IT support service.
  
  Responsibilities:
  
  1. Obtain, repair and maintain central server, operating system, networking,
  hardware and software
  
  Hardware and software:
  
  *	To repair small problems related to IT equipment, testing services
  result, central document server
  *	To collect and select all information about WCS-IP: scientific
  files,  scientific photos and other data
  *	To backup the data into backup medias and provide the information
  needed by WCS-IP
  *	To update IT equipment inventory
  
  Networking
  
  *	To maintain WCS-IP print servers
  
  *	To maintain WCS-IP local area network (and might be wide area
  network), good internet connection and local communication by computers.
  
  2. Provide IT technical assistance and trainings for region offices and
  Bogor office
  
  It technical assistance
  
  *	To provide hardware trouble shooting and solution, office automation
  software trouble shooting and solution, desktop publishing software trouble
  shooting and solution, networking and internet software trouble shooting and
  solution, operation system software trouble shooting and solution.
  
  Technology and information training for Bogor and field staff 
  
  *	To conduct training for hardware use, office automation software
  use, desktop publishing software use, networking and internet software use,
  operation system software use.
  
  3. Develop and maintain WCS-IP information system (database, WebPages)
  
  *	To maintain website contents given by pointed WCS-IP officers, to
  update the website content
  
  4. Produce training materials and conduct training program for WCS-IP staff
  related to Information System
  
  *	To develop training kits and conduct training.
  
  Qualifications:
  
  .        Bachelor Degree in Computer Science or equivalent experience in a
  similar position with an NGO or INGO or private companies.
  
  .        Computer skills mandatory. Proficient in Microsoft Office
  Applications, Microsoft Windows 7 and xp, Network Topology (Microsoft
  Network), Database Applications.
  
  .        Understand and familiar with Web Development. 
  
  .        Strong analytical and interpretative problem solving skills.
  
  .        Able to multi-task, establish priorities and meet deadlines.
  
  .        Able to work with minimum supervision.
  
  .        Good oral and written communication skills. English and
  Bahasa-Indonesia.
